This document describes the procedures
that be taken when individuals (students, faculty, staff or others using
computing facilities at AUC's) are named in a complaint of alleged computer
abuse or are found to be in violation of the AUC's Computer and Network Usage Policy.
Members of the AUC community are advised that discipline is progressive
and that matters of discipline will be referred to the University's
Network and Systems Security Office,who would further direct them to
the appropriate channels
Serious cases of alleged violations, would
Major damage to University's property
has occurred or is likely to occur.
The integrity of the campus network
and computing infrastructure has been threatened or jeopardized.
An individual's personal safety
has been threatened.
It is felt that there is
substantial risk to the University or a member of the AUC's community.
The process for dealing with an alleged
violation of the Computer and Network Usage Policy is as follows:
A first violation will result in
an electronic warning, issued by the System Administrator, to cease
the alleged violation. A meeting may be set up to review the alleged
violation, allow the individual an opportunity to respond, and to
discuss the warning.
A second violation will result in
a written warning from the Security Officer or the appropriate unit
head. At that point, the alleged violation is considered to have
become a disciplinary matter, and will be referred to the appropriate
disciplinary body or process, as stipulated by the AUC's University
Code of Conduct or the applicable collective agreement. Copies of
all correspondence will be included with the case as it is referred.
Opportunities for review and discussion of the alleged violation
will be subject to the provisions of the AUC's University Code of
Conduct or the appropriate collective agreement.
- Third and subsequent violations will result in either
a restriction in access to the facilities, or a complete suspension
of access to the computing facilities. Such sanctions will remain
in effect until investigation of the alleged violation has been completed,
and the appropriate disciplinary body has considered the case. Opportunities
for review and discussion of the alleged violation will be subject
to the provisions of the AUC's Code of Conduct or the appropriate
The following describes the procedures
that should be taken when individuals (internal or external to AUC's)
believe that students, faculty, staff or others using computing facilities
at AUC's have violated the American University Computer and Network Usage Policy.
Major violated incidents should be reported instantly and directly to
the Network and Systems Security Office. Other complaints should be
forwarded to the system administrator and accordingly designated to
the appropriate channels.
The person lodging the complaint shall forward to the appropriate system
administrator, in writing, details of the violation, including user
information, date(s), description of the violation, etc.
The system administrator will respond to the person lodging the complaint,
in writing, within ten (10) working days, as to the state of the complaint.
The system administrator may either dismiss the complaint outright,
or proceed to follow the Procedures for Cases of Computer Abuse.
The system administrators will report on all complaints and actions
taken to the Security Office, which may recommend further action.
